Head of Administration / Business Manager

The Head of Administration (HoA) is responsible for the management of business operations at GISB. The successful candidate will ensure the fiscal and operational health of the School and supervise all administrative functions, including admissions, finance, marketing/communications, health and safety, HR, international student programming, building maintenance, and IT. The HoA serves on the senior management team and works closely with the Head of School and the Board of Trustees to move the School’s strategic objectives forward.

YOUR TASKS AND RESPONSIBILITIES

  • Supervise administrative staff, serving as point of contact for and collaborating with interest groups, including faculty/staff, families, and the Board of Trustees, in all matters related to the administration of the School.
  • Lead in a manner that supports, guides and sustains the organization’s mission as defined by the Board of Trustees. Communicate effectively with the Board and provide information necessary for the Board to function effectively and make informed decisions.
  • Oversee all finance and accounting activities as well as budget performance. Develop resources sufficient to ensure the financial health, stability, liquidity, and growth of the organization.
  • Engage directly with partners and service providers, including German government authorities, to ensure fulfillment of grant contract provisions and reporting requirements. Utilize legal counsel, financial advisors, auditors, banks, and other professional service firms, as necessary.
  • Work to continuously improve operational processes and internal controls to enhance efficiency and services to faculty and students.  Oversee the development of school facilities, manage leases, rental agreements, landlord and sub-lessor relationships.
  • Lead the safety program, contributing to emergency and crisis management plans, evaluate and manage risk, insurance contracts and all federal, state and local regulations and requirements.
  • Work with insurance advisors and brokers to secure and maintain appropriate and cost-effective insurance policies for the School.
  • Coordinate and manage special projects.

You have a strong business background and demonstrated leadership and management skills. You have previously managed day-to-day operational activities, including accounting processes. You are a collaborative leader who thrives on creating a climate of trust, productivity and empowerment. Because we are a small school, we are looking for an individual who is equally comfortable with big-picture strategic thinking as they are with tactical operations and hands-on implementation. The successful candidate is a mission-driven team player with an entrepreneurial mindset. You are authorized to work in the United States.

REQUIRED QUALIFICATIONS

  • Bachelor’s Degree in Business Administration, Finance, or related field.
  • A minimum of 3 years of successful high-level experience, incl. supervisory responsibilities in a non-profit environment.
  • Effective communication skills that foster results, productivity, and teamwork.
  • Transparent and high integrity leadership.
  • Strong interpersonal and problem-solving skills.
  • Strong customer-service focus.
  • Working knowledge of business accounting policies, procedures, practices and software programs.
  • Strong analytical skills and ability to think and act strategically.
  • Proven experience in supervising and managing multiple functions and activities.
  • Experienced in coordinating and managing multiple tasks simultaneously.
  • Solid organizational abilities, including planning, delegating, program development and task facilitation.
  • Ability to analyze procedures to make improvements.
  • Advanced reading and writing skills in English.

PREFERRED QUALIFICATIONS

  • Master’s Degree in Business Administration, Finance, or related field.
  • Advanced reading and writing skills in German.
  • Prior industry experience, preferably at an independent school.
  • Experience and skill in working with a Board of Trustees
